Virtual information
centre
Are

Knowledge System VKS will certainly appeal to you. In VKS, you automatically
collect large numbers of documents without the need for any further manual
processing. Should you however wish to manually process certain documents,
everything you need for this purpose is prepared and available.
Meta
data can be assigned in different ways. Automatically, in the form of a correct
analysis and indexation by VKS of the meta data that is present in the
documents. Manually, by having an expert create a fitting title description.
Automatically, by using classification. Regardless of the method you choose, in
all cases it is (also) possible to disclose the documents
full-text.
If
you determine which documents are essential to the optimal performance of your
organization, we will co-operate with you to ensure that from then on these
documents will be included in one or more collections, which subsequently will
be made available to all relevant employees. They will be allowed to use the
excellent Verity search engine and the easiest interface: the browser. In other
words: a guaranteed success!
Web technology
Web
technology in general and the fact that every desktop computer in your
organization is already equipped with an up-to-date browser, make it possible
for every employee to easily and quickly access the information that is of
direct importance to their day-to-day work. The VKS opens the door to content
(significant information) within and outside your organization, thereby reducing
the time the users have to spend on searching information and increasing the
time they have to respond to that information. The amount of unstructured
information in your company doubles every three months.
Until now, it
has been very difficult to manage this content, because it was barely
structured.
A
fragmented network infrastructure further increases the problem, because the
content is difficult to find and access. If, for instance, it is impossible to
classify information, it will lose much of its value or become redundant. Our
VKS will help to solve this problem.
Modular structure
Step-by-step,
you can make the various elements within your information sources and facilities
available to you employees.
- Internal sources like
mail registration, research reports, recommendations, general correspondence,
legal information, norms and product information as well as the physical
library;
- External sources like
content suppliers and Internet sites.
There is a module that can clearly
index the data in all these information sources. At the heart of the VKS there
is the E-Finder: the powerful search engine which is powered by the Verity
techniques. It allows you to simultaneously search various sources without
having to switch between different search interfaces.
It doesn’t matter how you search.
Some people can define complex search questions and use Boolean operators, while
others search on a word basis. With the E-Finder you will always find a result,
even if you do not know how a word is spelt.
To
make all this information available in the E-Finder, the VKS consists of seven
modules which link up perfectly. As is customary for Square Information Systems,
you can start with an entry-level product that you can expand to a full-scale
VKS.

BIBIS Library Management System
This
module consists of the acclaimed library package
BIBIS Library Management System. You can use it to disclose your physical
library and perform other related administrative tasks such as lending,
ordering, purchasing, and periodicals administration and
circulation.

BIBIS Document Organizer
This
module allows you to clearly index all your electronic documents, whether it
concern your mail registration, image banks or all your Office documents. By
default, all linked documents are co-indexed full-text, which makes it possible
to also search the content of the documents.

Web Indexer
This
module allows you to build your own version of Google, which is limited to those
sites that are important to your organization. By indexing these sites, this
module can alert you when new content has been added to one of the sites
selected by you. In addition to that, it saves the content of these sites on
your own servers, thereby allowing you to access the content, even when the
pages are no longer available on Internet.

REPRIS Knowledge Map
Implicit
knowledge is one of the most valuable elements in knowledge management. Where
are the knowledge points in your company located and what implicit knowledge is
actually available in-house? This module allows you to record who is
knowledgeable about which subjects, using validated data. This can be linked to
a person’s original résumé, which in turn can be searched
full-text.

BIBIS Profiler
It
is essential that information is not only made available after an employee has
explicitly asked for it. Partially due to the large amount of information, it is
becoming increasingly important that employees are (only) provided with
information which fits their profile. Each employee may have multiple profiles
because a person is for example involved in multiple
projects.

As
a separate search module within the VKS, the Taxonomizer allows a front-end user
to quickly and easily search for required information. The Taxonomizer helps
information seekers with their search behaviour and reveals the scope of your
information supply. With the aid of clearly defined themes, a user can see which
knowledge points are available in your
organization.

BIBIS Scanning and Capturing
Many
documents, like for example your daily mail, are still supplied in hard copy
format. This module allows you to convert all these hard copy documents to
searchable electronic documents. These can then in turn be indexed in one of the
VKS modules or be included in the E-Finder as a separate collection, at which
point you can perform a full-text content search on them.

Features
Apart
from the freedom to purchase separate modules, the Square
Information Systems products have a number of other recognizable
features.
- All
products are database independent. If
your company’s standard is for instance Oracle, MS SQL or Sybase, this will
not be an impediment for using our products.
- All
products are
platform independent. The
system on which the product will be installed is not important. It can be
UNIX, Windows, HP-UX and Solaris. Even Apple Macintosh clients are
supported.
- A
not unimportant feature of our products is that they are all
web-enabled. They
are not Windows applications with a Web shell, but
100% Web
technology.
