services to volunteer organizations, professional organizations and
municipalities in the areas of youth welfare, youth care and youth policy.
Fawzi Salih works at K2’s internal
information and documentation center.
Why were you looking for a new
library system?
Fawzi: “Our old system was outdated
and inaccessible. Consultants posed their questions to us and the library
collection was used insufficiently. In addition, it was decided to set up an
Information and documentation center at K2. The consultants can use this center
to review books, reports, periodicals, video material, etcetera, in order to
enhance the service they supply to their customers.”
Why did you choose
BIBIS?
Fawzi: “The advantage of BIBIS is that it offers users a
wide array of search facilities. In addition, BIBIS has a notification module.
This means that a user profile can be created for each consultant. The system
then checks, as it were, which publications comply to this profile and notifies
the consultant in question of these publications.
Another advantage of BIBIS is that
we can combine it with the company logo and style. The opening screen and
subsequent screens are directly recognizable as K2. The relation to our K2
website for example, is immediately clear.
The system also connects very well
to the other digital systems we are starting to use, like the intranet. In that
respect, BIBIS fits well into the change we are making towards a new way of
working, where staff members do no longer have a designated workplace and much
information is digitally disclosed.
Personally, I find it very useful
that it is possible to link a PDF file with an image of a book to the
description of that book. And there are more possibilities; you can also enclose
photographs and create a direct link to relevant websites. Our positive
experience with Square as an organization, the supplier of BIBIS, has also
played a role. Our previous system was also supplied by them.”
How has the system been used so
far?
Fawzi: “We have only used the system
for three months now, so there is still a lot to discover. We need more time to
do that. We have however experienced that the consultants use the system if they
need information for, for instance, a consultancy project or a training course.
The Information and documentation center maintains the system.”
Which modules does K2
use?
Fawzi: “At this moment we use the order administration,
accessions list, loans administration, periodicals administration, “on-line”
public catalog and configuration modules. More information on these modules can

Is the system easy to
master?
Fawzi: “Yes, BIBIS comes with a user
course that teaches you to work with the different models using exercises bases
on practical situations. The course is aimed at supplying hands-on, practical
experience. Apart from the course it is possible to contact the helpdesk. Our
experience is that problems and questions are solved and answered within a
reasonable time frame. Moreover, the system has a clear help
function.”
