 This module communicates directly with the catalogue module, so preventing the duplicate entry of data. Just entering data once saves time and means less chance of incorrect data entry.

Bibis LMS distinguishes active, passive, past, IBL, and in-&-out orders for subscriptions and one-off orders. So it is very wide-ranging. Letters and reminders in the suppliers' own languages are supported as standard. Clearly, the links to printers, faxes and e-mail are attractive facilities here as well. With this module you always have up-to-date overviews available and also optimal control over the orders. Bibis LMS maintains automatically a large number of indexes that enable you to find everything immediately. The order administration module has links to the optional budgeting and invoice registration sub-modules.

In addition to Bibis LMS's web interface, there are also a lot of changes in the area of ordering books. In the past you had to actually visit a bookshop to buy a book, or send them an order. Now you can order on-line through E-commerce on the internet.

Budget monitoring option

This sub-module makes it possible to manage budgets for books, journals and audiovisual media per applicant, department and/or the whole library/Knowledge Center.

Overviews of budget spending per applicant, department, or the whole library/Knowledge Center or the interim accounts can be retrieved on-screen or printed out on paper or to a file.

There are direct links to the order administration and the invoice registration and even to the input program for copy descriptions. The budgets can be made currency-dependent. The budget can also be monitored per sub-library. Spending can still be monitored even if you have not entered any amounts for the budget.

Invoice registration option

The option of an extra check using invoice registration is especially attractive for subscriptions to journals that are published irregularly. All invoices for journals can be entered and followed up with this option. If you have several subscriptions to one title, even with different suppliers, these can all be processed. When the entries are being made Bibis LMS shows all the invoices that have already been entered for the title concerned so that you are able to see a total overview immediately. In this way you are able to see straight away whether a gap has occurred in the invoicing for or delivery of the journal concerned.

Notes option

Notes is a special option. Instead of having 'sticky notes' around your monitor, you have available a means of communication with your colleagues and with users. Notes is a free-text facility that can often be linked to the following records as a reminder: applicants (people who are also readers or borrowers), suppliers, publishers, copies (subscriptions also), orders, loans, reservations. You can specify for each individual user whether of not they get to see these Notes, can only see them, or can see them and also change them. You can go on to specify per program whether you want to activate the Notes facility in this program.
