Document Organizer is a completely integrated solution for enriching and
managing the unstructured documents within your organization and above all, for
making them accessible. Consider in this respect for example the amount of
know-how stored in Word or PDF files that are not available to the entire
company, the wide array of images that could add an extra dimension to your
information supply or the possibility to disclose public archive items in the
same manner as your active documents.
Just
like the other Square IS products, BIBIS Document Organizer is completely based
on web technology. This makes the application and all its possibilities
available to the entire organization, without the need for roll-out of client
software. The familiar browser forms the gateway to an infinite source of
information. The advanced applications in the powerful BIBIS search interface
E-Finder, prevent endless search actions, and easily help you find the desired
information. Both meta data and the content of text files (Office files, PDF,
HTML, etcetera) are searched full-text.
You
decide which fields are important to disclose a certain document. This can be
modified per document type. The data input is structured by the use of validated
tables, that allow documents to be uniformly cataloged, together with the
desired meta data. Access to documents can be limited to authorized persons
only, since the applied network security (for example LDAP) is
respected.
Uploading
documents
An electronic
file can very easily be linked to a document description in the BIBIS Document
Organizer, regardless of the type of digital document you wish to describe. The
upload functionality makes it possible to import large amounts of data in a
user-friendly manner.

Thesaurus
For
the disclosure of all your documents, BIBIS Document Organizer offers a
powerful thesaurus module that makes it possible to easily assign
uniform keywords from an extensive table. The thesaurus can only be modified and
maintained by authorized persons.
If
you also use the BIBIS
Library Management System a thesaurus may be located centrally, which allows
both applications to utilize the same thesaurus. This leads to several
management advantages as well as a transparant search gateway for the unskilled
users.
Routing
Some
electronic documents are important to such an extend, that the organization must
be certain that specific persons receive them. The routing can be determined by
means of classification or the content of the document. That way, electronic
documents can be routed in one of two ways:

of the powerful Verity search engine and is also completely based on web
technology. Combine this state-of-the-art technology with years of experience
and expertise in the area of thesaurus and descriptor based searching in library
environments and you have the ultimate mediator for the management of
information demand and supply. The E-Finder is capable of processing over 250
different file formats, like word processor files, spreadsheets, Lotus Notes,
HTML and PDF files. To save even more time, the digital documents can be
searched full-text, indexed and classified.

Management
& maintenance It
is important that electronic information is well-managed, whether it is stored on your own
infrastrucure, or whether it concerns a referral to the Internet. The management
and maintenance facilities of the Document Organizer greatly simplify this task.
They include a software check for the physical existence of electronic documents
and Internet links. A notification is sent to you if any documents or links
appear to be missing. In addition, you can use the settings of various security
levels to determine who can and may perform which tasks in the back-end section
of the Document Organizer.
Techniques BIBIS
Document Organizer is an advanced management application which is for 100%
created in web technology. The term server/client solution is therefore no
longer applicable. Instead we use the term server/browser technique. All
software is centrally installed on the servers and client software roll-out is
not necessary.
This offers several advantages,

- maintenance only takes
place at the servers
In
addition, BIBIS Document Organizer is both platform and database independent.
The only conditions that apply to the workstations are access to the servers and
the availability of a common browser: Microsoft Explorer 4.0 or higher, or
Netscape/Mozilla. At the workstation end, Windows 9x/ME/NT/2000/XP are
supported. BIBIS Document Organizer can also easily operate within a thin client
environment.
